Marketing Automation & Lifecycle Marketing

Marketing automation is the use of software to run marketing and sales communication without manual effort at each step: lead routing, scoring, nurture sequences, onboarding and retention flows. Avar Systems builds automation on the tools a business already runs — HubSpot, Zoho, Salesforce, email and WhatsApp — connected to the operational systems the leads eventually reach.

Decisions here are made on numbers

Lead scoring calibrated against which leads historically closed in your CRM, not a vendor’s default template.

0 conversions reconciled a month of the gap was duplicates
0 systems joined through one layer one contract, not seven
0 hrs a week back from manual reporting of the dashboard refreshes itself

Figures describe a mid-sized engagement — one CRM, one warehouse and three source platforms. Illustrative of an engagement at this size, not a named client’s results. These describe the volume of work and how it is governed — not an outcome we are claiming on someone else’s behalf.

Scope

What’s included

8 workstreams. Each one is a thing that gets done, not a thing that gets discussed.

01

Lifecycle mapping

The stages a buyer actually passes through, agreed with sales before anything is automated.

02

Lead routing and SLA

Rules for who receives a lead, how fast, and what happens when nobody responds.

03

Lead scoring

Behavioural and firmographic scoring, calibrated against which leads historically closed.

04

Nurture and re-engagement sequences

Email and messaging flows for leads that are real but not ready.

05

Onboarding and retention flows

Post-sale communication, because retention is cheaper than acquisition and usually neglected.

06

CRM hygiene and de-duplication

Field discipline, merge rules, and the cleanup that makes reporting trustworthy.

07

WhatsApp and conversational flows

Messaging automation on the channel much of APAC actually replies on.

08

Consent and preference handling

Opt-in capture, preference centres, and suppression lists maintained per market.

Process

How we run it

5 stages. The first two happen before any spend is committed.

1 Map the current state
2 Design with sales
3 Build
4 Test with real records
5 Monitor and tune
How it connects

One connection layer, not 8 brittle integrations

Work happens in accounts and properties you own. Each system is reached through its own MCP server, authenticated with a token scoped to an account you own — so the data is read where it already lives rather than copied over to us.

How automation & lifecycle connects through one MCP layer Our AI tooling acts as the MCP client. It speaks one protocol to a set of MCP servers, one per system. Each server talks to that system's own API using a scoped token on an account you own. On the left, the 1 platform group the work runs in. On the right, the 2 parts of your own stack it reads from and writes back to. What we measure, and how often

Agreed before work starts, so a later claim of improvement is checkable against a baseline rather than asserted.

FAQ

Automation & Lifecycle — common questions

Do we need to change CRM?

Almost never. We build inside HubSpot, Zoho, Salesforce or Pipedrive as they stand. A replacement is only recommended when the audit shows the CRM itself is the bottleneck, and that is a systems conversation rather than a marketing one.

How is this different from the automation Avar already builds?

It is the same discipline pointed at the front of the funnel. The operational side automates work after a deal exists; lifecycle marketing automates the communication that creates one. They share the CRM, the data model and the dashboards, which is why running both together avoids the usual seam.

Can you automate WhatsApp?

Yes, via the WhatsApp Business API, with template approval and consent handling. It is often the highest-response channel in Indian and wider APAC markets, and it is already part of Avar’s stack.

Will this email our whole database?

Not without your sign-off. Flows launch to a contained segment first, suppression lists are honoured, and consent rules are applied per market — Australian and Singaporean rules in particular are stricter than many templates assume.
